Managed Ads: Core Processes

Purpose: To consistently carry out the steps required for each managed account to confidently say we are optimizing every client to the best of our abilities without the worry of forgetting any steps of the process.

Rules of Reposting:

  • # of Interviews per Week should = 5x the # of Hires needed per month (IE: 4 hires per month = at LEAST 20 interviews scheduled p/wk)
  • A Custom Map is required for managed clients to get the full picture if not reaching their goals

Do’s and Don’ts for Indeed/Calendly

All managed ads accounts MUST follow these guidelines – there should never be a reason to deter from the formulas below unless for specific, pre-approved reasons. A large majority of the results we get for companies which are scaling at a very fast pace are because of the metrics we have put in place below. Do not feel tempted to break the formula below but please do ask questions to understand the WHY behind these formulas – occasionally times do change and the formula needs to be adjusted to a new norm. But again, this does not mean change is necessarily the best thing without first discussing it openly with operations to see if it is the best change for providing consistent forward progress.

DO:

INDEED:

  • Use Max Salary (“up to $”)
  • Set Budget at $50 p/mo
  • Repost Monday & Friday
  • Highlight 1 key incentive in job title (like consistent work or Weekly Pay)
  • Keep Job titles concise & simple
  • Check Hiring Insights for Most Common City to post in
  • Target Single Most Effective City
  • Check Hiring Insights for average pay for industry (making sure pay is 15% above average)
  • Modify pay to hourly if LESS than 40 hour work week
  • Modify pay to weekly if MORE than 40 hour work week
  • Check for frequent pay updates from Clients

CALENDLY:

  • Set only 1-2 interview times per day
  • Set interview times in 1 hour intervals between each interview
  • Set interview times at 15 min duration
  • Set Max Invitees at MINIMUM of 10 per slot (30, ideally)
  • Encourage interviewing all 5 days
  • Allow Monday interviews for highest potential volume
  • Require MINIMUM of 3 interview days per week (Mon/Tue/Thurs preferred if only 3 are available)
  • Allow 3 business days out to schedule

DON’T:

INDEED:

  • Set ads to Organic if not directly requested/suggested
  • Use Pay Range if low competitive advantage
  • Set Budget higher than $50 p/mo without firm reason/preapproval
  • Use excessive buzz words in title (IE: amazing pay)
  • Repost ads EVERY DAY, MON/WED/FRI, or Tuesday/Thursday without pre-approval
  • Sponsor Multiple Cities (unless client is larger)
  • Ignore pay adjustments if performance drops
  • Modify pay to hourly if MORE than 40 hour work week
  • Modify pay to weekly if LESS than 40 hour work week

CALENDLY:

  • Allow virtual or phone interviews if it’s not necessary (unless the client understands the potential drop in performance)
  • Remove ability to schedule automatically (unless you have explicit and rare permission)
  • Set more than 3 interview times per day (unless client has someone responsible for the role)
  • Set interview times less than 1 hour intervals
  • Set interview times at 30 min duration or more
  • Set Max Invitees BELOW 10 per slot
  • Allow interviewing less than 3 days per week
  • Allow either 1 business day out OR more than 3 business days out to schedule
