Updating Customized Email/SMS Templates

If your account is looking to modify the Core Notification Templates, share the following Google Doc Link with them:

Follow these steps to update and share your automation workflows after customization:

  1. Prepare:
    • Open the provided document: Work with a split screen for efficiency.
    • Access Recruit Hub: Navigate to the appropriate sub-account.
  2. Update SMS Templates:
    • Find SMS Notifications:
      • Use the document outline to locate sections.
      • In Recruit Hub, use Ctrl+F to find specific SMS notifications.
    • Edit Text Snippets:
      • Click the pencil icon to edit.
      • Translate if needed: Use Google Translate and ensure merge tags remain intact.
      • Copy and Paste: Use Ctrl+Shift+V to paste without formatting. Adjust spacing for readability.
      • Test the Message: Send a sample to verify correctness.
      • Save Changes: Ensure each edited template is saved.
  3. Update Email Templates:
    • Navigate to Email Templates:
      • In Recruit Hub, go to Marketing > Emails > Templates.
      • Click into the relevant folder (e.g., Core Notifications).
    • Edit Email Subject and Body:
      • Update the subject line via the settings (three dots > settings).
      • Copy and paste body content using Ctrl+Shift+V.
      • Maintain Hyperlinks and Formatting: Avoid overwriting existing links unless necessary.
      • Emphasize Important Parts: Ensure bolded sections remain highlighted.
      • Save Each Template: Confirm each update is saved properly.
  4. Final Checks:
    • Review Updates:
      • Check for any templates marked by others and ensure transparency.
      • Update the document to reflect all changes made.
    • Communicate with Account Manager:
      • Inform them to review and test the workflows.
